Burlington School District is seeking an energetic individual to fill the Data Specialist position to support our District Data Team. The District Data Specialist is a vital member of our Data Team, responsible for managing and ensuring the integrity of student assessment data, transfers, rostering, course enrollment, demographics, and other student information. This role supports the consistency, accuracy, and efficiency of student information practices across the district by providing training and support to administrative assistants, teachers, and staff. Additionally, the Data Specialist assists the DistrictData Manager with state and federal reporting and other student data processes and needs.
ESSENTIAL FUNCTIONS:
Database Systems Maintenance
- Maintain accuracy and integrity of student information in district databases, including SIS and LMS platforms.
- Manage data uploads, exports, and integrations between systems, ensuring successful transfers and compliance with platform requirements.
- Monitor and resolve data quality issues by implementing processes to address inconsistencies, errors, or duplicates.
- Develop and generate reports to support student assessments, individual performance, and district-level decision-making.
- Check, validate and troubleshoot issues with student data and data procedures in a proactive and ongoing manner to ensure consistency and accuracy.
- Provide training and ongoing support to school and district staff on data systems and tools.
- Create user-friendly guides and resources to improve staff workflows and navigation of data systems.
- Offer one-on-one and group support to troubleshoot issues and ensure consistent data practices.
- Manage multiple projects independently and collaboratively, balancing priorities and deadlines.
- Lead initiatives by convening meetings, creating agendas, facilitating discussions, and tracking progress.
- Actively participate in team meetings and projects, contributing expertise and insights.
- Maintain team systems, such as support ticketing and project plans, to ensure efficient operations.
- Learn new tools and systems as needed, creating documentation and training materials to share knowledge with others.
Registration & Enrollment
- Work with the district enrollment coordinator to enroll new students in the district and their assigned school with accurate information and supporting documentation.
- Respond to transfer requests by moving students within or out of the district.
- Contribute to training and support for administrative assistants in all buildings and departments in the use of Powerschool SIS and associated reporting and procedures.
- Help maintain efficient and accurate student information related to special services, homeschooling, state-placed, part-time students, and other students in special circumstances in our district.
- Work with the district enrollment coordinator to provide technical assistance for school personnel and family members as they use our family-facing registration and annual student update interfaces.
- Stay up to date on Powerschool and other software features and reports and be able to help others use the software effectively.
General Administrative Support and Reporting
- Validate, clean, and format data for reports, imports, and platform-specific templates.
- Establish and maintain effective working relationships with team members.
- Use discretion in discussing school affairs, recognizing the value of positive school-community relations.
- Participate productively in team meetings and professional committees.
- Comply with Board and administrative policies, regulations, and procedures.
- Contribute to state and federal reporting tasks, data cleanup, validation, and correction.
- Coordinate, initiate, prepare, process, and/or monitor various forms, records, reports, schedules, and other documents, ensuring timely and accurate completion of documents by other District personnel and/or outside individuals/organizations.
- Adapt to various roles, taking ownership of solo projects or collaborating as part of a team.
- Ensure compliance with FERPA and other regulations to safeguard student privacy and data security.
- Prepare/Complete appropriate reports/paperwork.
- Serve as backup to the District Data Manager
- Maintain a high level of confidentiality.
- Attendance in accordance with established days/hours of work.
- Perform other tasks and duties as appropriate and/or assigned.
QUALIFICATIONS:
Eligible to work in the United States without sponsorship
Education:
- Minimum Required: Associate’s Degree in Computer Science or Education, or High school or GED with 3 years of relevant Data Systems experience.
Experience:
Required:
- Two (2) Years training or experience with Database/systems or computer operations
- Proficiency with google drive, google docs, google sheets, gmail and calendars.
- Experience with databases, data use, manipulation, review, cleaning, importing, exporting and reporting.
- Experience with working with and manipulating csv files and spreadsheets, including sorting, filtering, and formulas.
Preferred:
- Experience with data management software or demonstrated technical aptitude.
- Experience in a school district environment using Powerschool Student Information System and completing state reporting is preferred.
- Experience with SQL or another computer programming language is preferred.
- Demonstrates appreciation of the value of different cultures and the ability to engage with a diverse educational community
